What BrilliantEd is

BrilliantEd is a school management platform that Brilliant Esystems has built, deployed and supported since 2016. It holds the learner record from first enrolment to final result, and joins it to timetabling, fee billing, library, boarding, biometric attendance and parent communication in a single database. It is bought by state universal basic education boards, ministries of education, private school groups running several sites, and tertiary institutions that need a single registry across departments. Everything is written in the language a Nigerian school registry actually uses — term, session, class arm, continuous assessment, school fees, fees office — rather than translated from a foreign product.

The problem it solves is fragmentation. In most institutions we survey, enrolment is captured on paper, results live in spreadsheets on individual laptops, fees are reconciled by hand against bank tellers, and nobody can answer a simple question such as how many learners in a local government area sat the third-term examination. Records are lost when a laptop fails or a records officer transfers. BrilliantEd replaces that with one authoritative register, role-based access, and an audit trail on every change, so a director can pull a verified figure for a ministry return in minutes rather than weeks.

The second problem is connectivity. Many schools in Kano, Jigawa, Katsina and Yobe have intermittent power and thin bandwidth, so a purely online product simply does not run. BrilliantEd is offline-first: each site runs a local node that captures attendance, marks and fee receipts without a connection, then reconciles to the central database when the link returns. Conflict handling is deterministic and every synchronisation is logged. A school can lose the network for a week and lose no data.

We licence BrilliantEd per site with an annual subscription, and we implement it ourselves rather than handing you an installer — requirements workshop, configuration, migration of legacy registers, training of records officers and fees-office staff, a full pilot term, then a supported go-live with engineers on the ground. Ninety-six of our engineers hold current vendor certifications, and the education practice is led from our Kano headquarters with delivery teams available in Abuja and Lagos for institutions in the south.

What you get on day one

A BrilliantEd subscription is not a download. It includes the platform, the hosting, the migration of your existing registers, the training of the people who will run it, and a named engineer you can telephone. We would rather deliver forty schools properly than two hundred badly.

Where a client insists on holding data on its own premises, we will install the same platform on a server in your building and manage it remotely. The licence fee is unchanged; the hosting element is removed and replaced with an on-premises support line.

How we implement BrilliantEd

A single-site deployment typically runs eight to twelve weeks. A state-wide roll-out is phased by local government area over two to four terms.

Requirements workshop

Two to four days on site with your records, examinations, fees-office and ICT officers. We document your grading scheme, fee structure, class arms, session calendar and reporting obligations, and agree the scope in writing.

Configuration

We configure sessions, terms, class arms, subjects, grading bands, fee heads, hostel blocks and user roles to match the workshop output, then walk you through the configured system before any data is loaded.

Data migration

We clean and load your existing registers, historical results, fee ledgers and staff lists from spreadsheets, legacy databases or scanned records, and give you a reconciliation report you must sign off.

Integration

We connect payment collection to your bank or gateway, wire up the SMS route, and build any interface your ministry or board requires for periodic returns.

Training

Classroom and hands-on training for administrators, records officers, examinations officers, fees-office staff and form teachers, plus a short guide for guardians. Delivered on site or at our Kano and Abuja training rooms.

Pilot term

One term running in parallel with your existing process at a small number of sites. We measure attendance capture rates, fee reconciliation accuracy and result-processing time, and fix what the pilot exposes.

Go-live

Cut over to BrilliantEd as the system of record. Legacy spreadsheets are archived read-only. Our engineers are on site for the first week of the term and on call for the second.

Sixty days of enhanced support with a named engineer, daily check-ins for the first fortnight, weekly usage reporting, and a formal handover to the standard support desk at the end.

Questions buyers ask

Can we host BrilliantEd ourselves rather than in your cloud?
Yes. Three options are supported: hosted by us in Nigeria on BrilliantCloud, installed on a server in your own building and managed remotely by us, or installed on your premises and run entirely by your ICT unit with an annual support contract. The licence fee is the same in all three; only the hosting and support lines differ.
Where is our data held, and does this satisfy the NDPA?
All hosted instances sit on infrastructure inside Nigeria — our primary site in Kano and the disaster-recovery copy in Abuja. Nothing is replicated abroad. We process data strictly on your written instruction as your data processor, we sign a data-processing agreement as part of the contract, and our information-security management system is certified to ISO/IEC 27001:2022, which is the evidence base most compliance reviews ask for under the Nigeria Data Protection Act.
What happens in schools with no reliable internet or power?
Each site runs a local offline node — a small appliance or an existing PC — that serves the school over its own network and holds a full copy of that site’s records. Attendance, marks, fee receipts and enrolment all work with no connection. When a link is available, even a phone tethering for ten minutes, the node reconciles with the central database. We size the node for the site and can supply it with a small inverter.
Will it work with the systems we already have?
BrilliantEd exposes a documented REST API and supports scheduled file exchange for institutions that prefer it. We routinely integrate with commercial banks for fee collection and reconciliation, with Remita and the common Nigerian payment gateways, with SMS aggregators, and with existing finance or payroll systems. Where a ministry prescribes a return format, we build the export to that format.
What are your support hours and response times?
Standard support runs 08:00 to 18:00, Monday to Saturday, by telephone on +234 803 047 9666 and by e-mail to [email protected]. Priority-one incidents carry a one-hour response and a four-hour restoration target. Enterprise clients may buy 24/7 cover, which is the usual choice during enrolment and examination periods.
Do we get the source code, and what happens if we leave?
The platform is licensed, not sold, so source code is not transferred by default. Enterprise clients may purchase a source-code escrow arrangement released on defined trigger events such as our insolvency or a sustained failure to support. Your data is always yours: you can export the complete database in open formats at any time during the contract and for ninety days after it ends, at no charge.
Is training included, and how many people can attend?
Yes. Implementation includes training for up to twenty-five officers per site in the Starter and Professional editions and unlimited officers in Enterprise, plus two refresher days each session. Additional cohorts are delivered by our ICT Training Academy, which has trained more than 6,400 graduates since 2016.
