Privacy Policy
What Brilliant Esystems Limited collects through brilliant.ng, the SIWES and internship forms and the Brilliant SIWES mobile app, why we collect it, who else handles it, and how to have it corrected or deleted. Last updated 6 October 2026.
Who we are
Brilliant Esystems Limited (RC 1870949) is the data controller for the information described here. We are at No. 508 BUK Road, Kano, Kano State, Nigeria, and you can reach us about anything on this page at [email protected] or +234 916 000 0444.
We process personal data under the Nigeria Data Protection Act 2023. We do not sell personal data, we do not show advertising, and neither the website nor the app contains advertising or analytics trackers.
What the SIWES and internship forms collect
When you apply at /siwes or /internships, or file a record of a placement you have completed, we store:
- Your name, gender, date of birth, marital status, nationality, state of origin and local government area
- Your National Identification Number (NIN), used to stop duplicate applications
- Your phone numbers, email address and home address
- Your institution, faculty, department, course, level, matriculation and ITF numbers, and your institution’s SIWES coordinator’s contact details — or, for internships, your education and NYSC status
- Your placement dates and preferences, skills, experience and motivation
- Your next of kin’s name, relationship, phone number and address
- For new applicants, the bank account for your stipend
- The documents you upload: passport photograph, letters, ID card and results
- The IP address the form was sent from, and the date and time
What the Brilliant SIWES app collects
You sign in with your application reference, phone number or email and the six-digit access code we sent you. We keep the code only as a one-way hash. In addition to your form, the app records:
- Attendance: when you tap Clock in or Clock out, your GPS coordinates and their accuracy, the street address they resolve to, your distance from our office, the time, your phone’s model, operating system and app version, and your IP address. The app shows you all of this before you confirm.
- The app reads your location only while you are clocking in or out, on screen. It does not track you in the background or between clock-ins.
- Your logbook entries, task hand-ins, tutorial log and any changes you make to your contact details or passport photograph
- Messages you send to the AI assistant and its replies
- A sign-in token, stored in your phone’s secure storage and on our server, which expires after 90 days without use
Why we use it
We use your information to consider your application, arrange and supervise your placement, record your attendance and logbook as SIWES requires, issue letters and certificates, contact you and your next of kin, and pay a stipend where one applies. Your location at clock-in is used only to confirm that you were at your placement, and your supervisor and the SIWES coordinator can see it.
Our legal bases are your consent when you apply, the performance of your placement arrangement with us, and our obligations to the Industrial Training Fund and your institution.
Who else handles it
We share personal data only with the services that do work for us, and only what each needs:
- OpenAI — when you use the AI assistant or “Draft with AI”, your question and a summary of your own placement record (attendance, tasks, logbook status) are sent to OpenAI to generate the reply. Nothing is sent unless you use the assistant.
- Your phone’s map service — to turn your clock-in coordinates into a street address, the app uses the geocoder built into Android (Google) or iOS (Apple).
- OpenStreetMap — the attendance map loads its tiles from OpenStreetMap, which sees your IP address.
- Google Fonts — the app downloads its typefaces from Google, which sees your IP address.
- SMSLive247 and our email provider — to send your access code and decisions on your form by SMS and email.
- Flutterwave — if you pay for the special course online, Flutterwave handles your card or bank details; we receive only the payment status and reference.
- Cloudflare — our websites are delivered through Cloudflare, which processes visitors’ IP addresses to deliver and protect the site.
- Your institution and the Industrial Training Fund — your placement dates, attendance and logbook, where SIWES requires it.
How long we keep it
We keep your form, documents, attendance and logbook for as long as we need them to run your placement and to answer later requests from you, your institution or the Industrial Training Fund to confirm it. AI assistant conversations can be cleared at any time from the app with “New conversation”. If your application is not taken forward, you can ask us to delete it at any time.
Your rights
Under the Nigeria Data Protection Act you can:
- See the information we hold about you — most of it is in the app and on your form page
- Correct it — edit your details in the app, or your form while it is not yet approved; for anything else, write to us
- Withdraw location permission in your phone’s settings at any time; you will then not be able to clock in through the app
- Ask us to delete your information, as set out below
- Complain to the Nigeria Data Protection Commission if you believe we have mishandled your data
Deleting your record and app account
Your Brilliant SIWES app account is your SIWES or internship application; there is no separate account. To have it deleted, email [email protected] from the email address on your form, with the subject “Delete my data” and your reference (for example SIWES-2026-0015). We will confirm it is you and reply within 30 days.
We then delete your form, documents, attendance, logbook, tasks, tutorial log, AI conversations and sign-in tokens. If you completed a placement with us we may keep a minimal record — your name, reference, placement dates and any certificate number — so that we can still confirm your placement to your institution or the Industrial Training Fund, and we will tell you if we do.
To stop using the app without deleting anything, sign out and uninstall it; your sign-in token expires after 90 days.
Security, children and changes
Information travels to us over encrypted connections, uploaded documents are kept in private storage that only you and our reviewers can open, and access codes and sign-in tokens are stored only as one-way hashes. The website and app are meant for students in tertiary education and graduates, not for children under 16. If we change this policy we will update the date at the top of this page.
