BRILLIANTCARE

BrilliantCare — Hospital Information System

One patient record from the registration desk to discharge — outpatient and inpatient workflows, pharmacy, laboratory, radiology, theatre and billing, with NHIA and HMO claims handled properly.

What BrilliantCare is

BrilliantCare is a hospital information system for Nigerian teaching hospitals, federal medical centres, state general hospitals, specialist centres and private clinic groups. It issues every patient a unique patient identifier at first contact and carries that identifier through consultation, investigation, prescription, in-patient care, theatre, billing and discharge. Clinical staff work in the module that fits their role; management sees one consolidated picture of activity, revenue and stock. It is bought by hospital management boards, chief medical directors and heads of health management information, and it is procured most often as part of a wider modernisation programme.

The problem it solves is the paper folder. In a hospital running on folders, the record cannot be in two places at once, retrieval takes twenty minutes on a good day, investigation results arrive after the patient has left, and drugs are dispensed against handwriting. Revenue leaks quietly: services are rendered and never billed, HMO claims are submitted late and rejected on technicalities, and the pharmacy cannot tell you what it actually sold last month. BrilliantCare closes those gaps by making the electronic record the operational record rather than a retrospective data-entry exercise.

The system is built for Nigerian financing reality. It handles cash patients, National Health Insurance Authority enrolees, corporate HMO schemes, retainership accounts and staff concessions on the same encounter, splits a bill across payers, and produces claim batches in the formats HMOs actually accept. Diagnoses are coded to ICD-10, and the reporting module exports the monthly summary in a form suitable for upload into DHIS2, which removes several days of manual tallying from the records office each month.

BrilliantCare is deployed on your own hardware inside the facility or on BrilliantCloud in Nigeria, and is supported by our health practice with engineers based in Kano, Abuja and Lagos. Implementation is deliberately staged — registration and outpatient clinics first, then pharmacy and laboratory, then the wards, theatre and full billing — because a hospital cannot stop working while a system is installed, and because each department needs time to absorb a new way of recording what it does.

Functional modules

Nine clinical and administrative modules on a single patient record, licensed together and enabled in the order your implementation plan sets.

Registration & Unique Patient ID

Front desk

Register new patients, search reliably on partial names and phone numbers to prevent duplicates, issue a permanent hospital number and card, and manage next-of-kin and payer details.

Outpatient Workflow

Clinics

Queue patients by clinic and consultant, record vital signs at the nurses’ station, capture consultation notes, raise investigation and prescription orders, and schedule review appointments.

Inpatient Workflow

Wards

Admit from clinic or accident and emergency, allocate beds by ward and class, run nursing charts and drug administration rounds, record ward rounds, and manage transfers and discharge summaries.

Pharmacy & Stores

Supply

Dispense against electronic prescriptions, hold batch and expiry data, run main store and satellite pharmacies, trigger reorder levels, and reconcile stock counts with full movement history.

Laboratory (LIS)

Diagnostics

Receive electronic orders, print specimen labels with barcodes, track samples through the bench, capture or interface results from analysers, and validate before release to the requesting clinician.

Radiology Orders

Imaging

Order and schedule imaging by modality, manage the reporting queue for radiologists, attach reports to the patient record, and link to a PACS where the hospital already operates one.

Billing, NHIA & HMO Claims

Revenue

Price every service from a maintained tariff, split bills across cash, NHIA and HMO payers, apply capitation and fee-for-service rules, and generate claim batches with supporting documentation.

Theatre Scheduling

Surgery

Book theatre lists by suite and surgeon, check readiness against investigations and consent, record the operation note and consumables used, and post theatre charges straight to the bill.

EMR, ICD-10 & DHIS2 Export

Records

Maintain the longitudinal electronic medical record across every encounter, code diagnoses and procedures to ICD-10, and produce the monthly morbidity and service summary in the layout required for upload into DHIS2.

How we implement BrilliantCare

A general hospital typically reaches full go-live in five to nine months. We never attempt a single big-bang cutover in a working hospital.

1

Requirements workshop

One to two weeks with the chief medical director’s office, heads of clinical departments, pharmacy, laboratory, records and accounts. We map current patient flow, tariff structure, payer mix and reporting obligations, and agree a phased scope.

2

Configuration

We build your clinics, wards, bed classes, service catalogue, tariff schedules, drug formulary, laboratory test panels and user roles, then hold a configuration review with each department before anything goes live.

3

Data migration

Existing patient master indices, outstanding bills, drug stock positions and staff lists are cleaned and loaded. Historical paper folders are not retyped; instead the record number is carried forward so old folders remain findable.

4

Integration

We interface laboratory analysers over HL7 where they support it, link an existing PACS, connect payment collection to your bank, and build the claim file formats your HMOs require.

5

Training

Role-based training by department, delivered in short sessions that fit around shifts, with super-users identified in each unit. Night-duty staff are trained separately so no cohort is missed.

6

Pilot

Registration and one outpatient clinic run live for four to six weeks while everything else continues on paper. We measure registration time, duplicate rate and billing completeness before widening.

7

Go-live

Departments are switched in the agreed sequence — pharmacy and laboratory, then wards, then theatre and full billing. Our engineers are resident on site for each department’s first week.

8

Hypercare

Ninety days of enhanced support with on-site presence tapering to remote, daily incident review with the hospital ICT unit, and a formal handover to the standard support desk with a signed acceptance report.

Questions buyers ask

Must we host BrilliantCare in your cloud?
No. Most hospitals run BrilliantCare on servers inside the facility, because a hospital must keep working when the internet link fails. We size and supply the server, install it, and manage it remotely under a support contract. Hosting on BrilliantCloud in Kano with disaster recovery in Abuja is available for clients who prefer not to run hardware, and a hybrid arrangement — local server, replicated backup in our cloud — is the most common choice.
How does BrilliantCare handle patient data protection and the NDPA?
Patient data never leaves Nigeria in any deployment we operate. Access is role-based and every read of a clinical record is logged with the user, time and reason, which is what an investigation actually needs. We sign a data-processing agreement, our information-security management system is certified to ISO/IEC 27001:2022, and we will complete your data-protection impact assessment with you as part of implementation under the Nigeria Data Protection Act.
What happens when the network or power fails?
On-premises deployments keep running on the hospital network with no internet at all. For sites with weak internal cabling we deploy a resilient local network and small uninterruptible supplies at registration, pharmacy and the laboratory bench. Where a satellite clinic loses its link to the main server, a local cache keeps registration and dispensing available and reconciles when the link returns.
Can it work with the analysers, PACS and accounting systems we already own?
Yes. We interface chemistry and haematology analysers over HL7 or serial capture, link to an existing PACS by DICOM worklist, and post billing summaries to Sage, QuickBooks, Oracle or a government treasury system through a documented REST API or scheduled file exchange. Where an HMO has its own portal, we generate the claim batch in that portal’s import format.
What support cover is available for a 24-hour facility?
Standard support runs 08:00 to 18:00 Monday to Saturday, but hospitals almost always take the 24/7 option, which is included in the Enterprise edition and available as an uplift on the others. Priority-one incidents affecting registration, dispensing or the laboratory carry a 30-minute response and a two-hour restoration target, with an escalation path to the Director, Managed Services.
Do we own the source code, and can we get our data out?
The platform is licensed rather than sold. Enterprise clients may purchase a source-code escrow agreement with defined release triggers. Your clinical and financial data is yours without qualification: a full export in open, documented formats is available on request at any time and for ninety days after the contract ends, at no charge, and we will assist a successor supplier with the data dictionary.
Is training included and who delivers it?
Training is part of the implementation fee and covers every user group, including night-duty cohorts and locum staff. Refresher sessions are delivered twice a year for new intakes. Longer courses — health information management, clinical coding to ICD-10 — are run by our ICT Training Academy in Kano and Abuja and can be added to the contract.
